Director of Operations

SAGE is the country's largest and oldest organization dedicated to improving the lives of lesbian, gay, bisexual and transgender (LGBT) older adults. Founded in 1978 and headquartered in New York City, SAGE is a national organization that offers supportive services and consumer resources to LGBT older adults and their caregivers, advocates for public policy changes that address the needs of LGBT older people, provides education and technical assistance for aging providers and LGBT organizations through its National Resource Center on LGBT Aging, and cultural competence training through SAGECare. With offices in New York City, Washington, D.C., and Chicago, SAGE coordinates a growing network of 28 SAGE affiliates in 21 states and the District of Columbia.

Summary:
The Director of Operations is a leadership role in the organization. The primary functions of the Director of Operations are to plan, direct and coordinate real-time operations and administration of SAGE’s facilities, ensuring that the organization runs as smoothly and effectively as possible. This position is full-time and reports to the Chief Operating Officer.

Essential Job Functions:

  • Manage daily operational activities, determining needs, reducing costs, and analyzing areas requiring improvement.
  • Supervise the IT Manager, the Office Administrator, Maintenance Coordinator, and the Front Desk/Reception team.
  • Serve as primary contact for building management of NYC facilities at 4 locations.
  • Manage leases, renovations/alterations, maintenance, and repair of facilities; works with vendors to maintain all NYC offices.
  • Handles non-employee insurance (D&O, property, liability, etc.).
  • Administers bi-weekly payroll; receives and reports all payroll adjustments; manages time-off balances and reports.
  • Acts as primary contact for permits and licenses for the organization, including SAGE Centers.
  • Manages emergency closures for NYC offices (weather, etc.) by working with COO, then alerting staff who assist in closure, then notifying staff.
  • Participate in (and be backup for) new employee onboarding, including allocation of desks/offices.
  • Performs other related duties as required and assigned.

Qualifications:

  • Ability to work independently and manage multiple diverse projects simultaneously; must be flexible and able to prioritize appropriately.
  • High level of attention to accuracy, detail, organization, and follow-through.
  • Strategic, analytical, and operational thinker, as well as creative problem-solver.
  • High level of professional personal judgment and discretion; ability to offer counsel to members of management and staff; ability to maintain confidentiality.
  • Excellent interpersonal, communication, and diplomacy skills with staff and outside contacts such as vendors and suppliers.
  • Ability to collaborate effectively and collegially.
  • Ability to run payroll,  including calculating paid time off.

Special Requirements:

  • Basic computer skills; experience with ADP
  • Occasional physical requirements such as moving furniture and lifting boxes.
  • Availability by phone and email off hours for emergencies and special projects; willingness to be flexible around work schedule is required.

Education:  Bachelor’s Degree (minimum)
